School Summary

Oregon Charter Academy  (ORCA) is a virtual public school serving students in grades K–12 throughout the state. Teachers at ORCA are student-focused, adapting to meet students’ educational needs through personalized learning using our high-quality curriculum and the teaching of 21st-century skills. ORCA is authorized by the Santiam Canyon School District and is governed by its own independent charter school board. The school has been in operation since 2005 and is accredited through Cognia.

Position Responsibilities 

Working primarily from one of the school’s offices, Wilsonville or Mill City, Oregon, the Administrative Assistant will be an integral part of the school and classified staff. The Administrative Assistant will support office operations, outreach, enrollment, and records management.

While not meant to be an inclusive list, the Administrative Assistant will be responsible for the successful completion of the following tasks: 

Outreach Support

  • Planning, scheduling, and hosting Virtual Informational Sessions for prospective families; 

  • Collaboratively facilitating, including monitoring and responding to comments on the school’s Social Media platforms;

  • Supporting onboarding for new enrolling students and families;

  • Support the organization and facilitation of the Parent Group, Including scheduling monthly meetings and collaborating with grade level admin on the agenda; responding to comments; accepting new requests to join;

  • Host tables at outreach events such as Saturday Market, Comic Con, Lunch and Plays, or like events;

  • Provide feedback to families who request more information;

  • Facilitate the schedule of current families and students as necessary for school events, public relations, and media;

  • Assist the Executive Assistant and Executive Director with consistent messaging of the school;

  • Attend and lead the weekly Marketing Meeting;

  • Attend and host the table at the Oregon Professional Educator Fair;

  • Maintain Enrollment and Pipeline reports;

  • Actively participate in event planning, including graduation, open house, and spring celebration.

Enrollment Support

  • Enter data into the online student information system;

  • Assisting prospective families through the enrollment process;

  • Acts as the primary point of contact for processing related documents;

  • Interprets and responds to inquiries in person, via phone, or Internet;

  • General understanding of enrollment policies and document requirements;

  • Sending and receiving District Notice of Intent to Enroll forms;

  • Performs all functions within FERPA regulations;

  • General knowledge of the 3% enrollment cap and assisting families with the appeals process, and other related laws and regulations;

  • Maintains  pertinent  records  and  performs  follow-up  assignments;

  • Provide comprehensive customer service, including front-line phone support.

Overall Position Responsibilities

  • Provide high-level support to school staff and be an integral part of the classified staff;

  • Greet and assist staff, students, families, and visitors both in person and by phone- this includes routing calls, relaying messages, receiving and directing visitors, determining priority matters promptly and courteously;

  • Attend program and department staff meetings to stay fully informed about school activities and efforts, improve skills, and maintain frequent lines of communication;

  • Cultivate and model a respectful work and learning environment;

  • Self-starter who also works well in a team

  • Assists other personnel as may be required to support them in the completion of their work activities;

  • Providing reception at the front desk on in-office days; and

  • Additional duties as assigned.

Position Requirements

Requirements

  • HS Diploma

  • Strong technology, organization, and time management skills 

  • Excellent communication skills, both oral and written

  • High degree of flexibility and dependability

  • Ability to travel for required All-Staff meetings, outreach events, and other meetings or events

  • Ability to work in the Wilsonville or Mill City office and potentially remotely at times

  • Ability to work evening hours and weekend hours for outreach events as needed

Preferred Background

  • Bachelor Degree

  • School administrative assistant experience

  • Outreach or marketing experience

  • Social media management experience

  • Skilled with Google Suite, PowerSchool SIS, Adobe PDF, and Canva 

Compensation and Benefits

Starting salary range is $17.55-$34.99/hr dependent upon education and experience
